1. Who we are


Paragon Pet Care is operated by Jordan White and Kayleigh Turner, trading together as Paragon Pet Care (a partnership / sole trader business).

We are the “data controller” for the purposes of the UK General Data Protection Regulation (“UK GDPR”) and the Data Protection Act 2018.~


2. What this notice covers


This privacy policy explains how we collect, use and protect your personal data when you:


  • make an enquiry through our website or Facebook page,
     
  • contact us by phone or email, or
     
  • create an account or make a booking through our scheduling platform Time to Pet.
     

3. What personal data we collect


We may collect the following information:


  • Your name and contact details (email address, telephone number, address)
     
  • Information about your pets (e.g. species, number, care requirements)
     
  • Booking details, visit dates and instructions
     
  • Payment and invoicing information
     
  • Any other information you provide to us when enquiring or registering for our services
     

We do not collect special-category (sensitive) personal data about people, such as health or ethnicity information.


4. How we collect your data


We collect data directly from you when you:


  • submit an enquiry via our website or Facebook form,
     
  • call, text or email us, or
     
  • create an account or booking in Time to Pet.
     

We may also receive limited data automatically via Facebook advertising (e.g. lead-form submissions) or our website host (GoDaddy) through cookies (see Section 11).


5. How we use your data


We use your personal data to:


  • respond to enquiries and provide quotes;
     
  • manage bookings and deliver our pet-care services;
     
  • send invoices, receipts and service confirmations;
     
  • maintain client records;
     
  • comply with accounting or legal obligations; and
     
  • (optionally, in future) send marketing updates or offers, where you have consented or where we have a legitimate interest to do so.
     

6. Our lawful bases for processing


We process personal data under the following lawful bases:

Responding to enquiries and managing bookingsContract (Article 6(1)(b)) – processing necessary to perform or take steps toward a contract for our services


Record-keeping, invoicing and insurance Legal obligation and legitimate interests


Marketing and remarketing (Facebook ads, optional email updates)


Legitimate interests or consent, depending on the contextWebsite operation / cookies Consent via your browser or cookie settings  


7. Who we share data with


We only share personal data where necessary for our business operations:


  • Time to Pet, our scheduling and client management software (which stores customer data securely and acts as a data processor).
     
  • Our contracted pet sitters and walkers, who access only the data required to deliver your booked services.
     
  • Service providers such as accountants, payment processors, or IT support, bound by confidentiality obligations.
     
  • Facebook and GoDaddy, which may receive limited data for advertising or website hosting purposes.
     

We do not sell or rent your personal data to any third party.


8. International transfers


We do not intentionally transfer your personal data outside the United Kingdom or the European Economic Area.
If this changes (for example, if Time to Pet or another processor stores data overseas), we will ensure that appropriate safeguards such as the UK International Data Transfer Agreement (IDTA) are in place.


9. Data retention


We retain your data only for as long as necessary to fulfil the purposes above.


  • Enquiry or booking data: normally 2 years after last contact.
     
  • Time to Pet accounts: kept for the duration of your account. If no booking occurs within 12 months, we will contact you to confirm whether to keep or delete the account; otherwise, it will be deleted.
     
  • Financial records: retained for up to 6 years to meet legal accounting requirements.
     

After these periods, your personal data will be deleted or anonymised.


10. How we keep your data secure


We take data security seriously.


  • Customer records are stored securely within Time to Pet (password-protected and access-restricted).
     
  • Business devices are password-protected and used only by authorised personnel.
     
  • Any paper records are stored securely and destroyed when no longer required.
     
  • Facebook Lead-Form data remains within Facebook’s platform and is subject to their own security measures.
     

11. Cookies and tracking


Our website is hosted by GoDaddy, which uses essential cookies for site operation and security.
We also use the Facebook Pixel to measure advertising performance and run remarketing campaigns.

You can manage or delete cookies through your browser settings. For more information, visit www.aboutcookies.org.


12. Your data protection rights


Under the UK GDPR, you have the right to:


  • access the personal data we hold about you;
     
  • request correction of inaccurate data;
     
  • request erasure of your data (“right to be forgotten”);
     
  • object to or restrict processing;
     
  • request data portability (to receive your data in a structured, machine-readable format);
     
  • withdraw consent at any time where processing is based on consent; and
     
  • lodge a complaint with the Information Commissioner’s Office (ICO) at www.ico.org.uk.

13. Children


Our services are intended for adults booking pet-care services. We do not knowingly collect personal data from children under 16.


14. Updates to this policy


We may update this privacy policy from time to time to reflect legal or operational changes. The latest version will always be available at:
